How to reconcile an incoming bank transaction as shareholder's share capital

If a shareholder deposited money into a connected bank account it needs to be reconciled into the Share Capital account for example.

Since Cybooks requires a Customer or Vendor to be able to reconcile a bank transaction, you would need to create a customer for the shareholder.

To have a clear separation you can add a unique placeholder in front of the customer name like [Shareholder].

In the below example we would create the following transactions:

Who

[Shareholder] Mon Mothma

What

Equity -> Share Capital

Why

Increased share capital

Tax Rate

Excempt Income

Steps to Handle This in Cybooks:

  1. Create a Customer for the Shareholder (If Not Already Added)

    • Go to Customer > Add new customer

    • Name it something clear, e.g., "Shareholder – [Name]" or "Internal Shareholder".

    • You don’t need to add an email or full details if you don’t want to.

  2. Reconcile the Bank Transaction:

    • Go to Bank Account > Reconcile View.

    • Find the deposit transaction.

    • Click “Create”.

    • Who: Select the shareholder's name.

    • What: Select the chart of account

      • If the funds are an investment, choose “Share Capital” (Equity).

      • If the funds are a loan, choose “Shareholder Loan” (Liability).

    • Tax Rate: Select “No VAT”

    • Add a description (e.g., “Capital introduced by shareholder” or “Loan from shareholder”).

    • Click OK to reconcile.
